Terms of Service
These Terms of Service (“Terms”) form the agreement between ITOPI AB, organization number 559075-1052, VAT number SE559075105201, Tellusvägen 3 f, 191 47 Sollentuna, Sweden (“Alltended”, “we”, “us”) and the business that subscribes to or uses Alltended (the “Customer”, “you”). The Data Processing Agreement (“DPA”) is part of these Terms.
The person accepting these Terms confirms that they are authorized to bind the Customer. If you do not have that authority, do not accept them.
1. The service
Alltended is a shared email inbox for teams. You forward email from your existing address to an Alltended address. Your team can read, assign and reply to conversations, keep internal notes and contact details, and connect integrations, including AI assistants through the Model Context Protocol (“MCP”).
Replies are sent from an address on an Alltended subdomain allocated to your organization, not from your own domain. Forwarding does not import historical email or synchronize your original mailbox.
The current features, limits and supported email formats are described in the product and on alltended.com. We may improve or change the service. We will not make a change that materially reduces the core service you have paid for during a paid period without the notice described in section 15.
2. Eligibility
Alltended is offered only to businesses purchasing for business use. At launch, subscriptions are available to businesses established in the European Union (including Sweden), the United Kingdom, Norway, the United States and Canada, where checkout is enabled for the billing country. You must give accurate business, billing and tax information and keep it up to date.
3. Accounts and organizations
Each person uses their own account with a verified email address. You are responsible for the people you invite, the mailbox permissions you grant, keeping credentials and API keys secret, and activity under your organization. Tell us promptly at support@alltended.com if you suspect unauthorized access.
An organization administrator can invite and remove members, grant mailbox access, connect integrations, manage billing, export data and close the organization.
4. Plan, fees and taxes
The plan costs €29 per organization per month for customers billed in the EU, the UK and Norway, or US$29 per organization per month for customers billed in the US and Canada. Prices exclude applicable taxes. Checkout shows the taxes and total before you pay. The billing country determines the currency; exchange rates do not change the price of an existing subscription.
The plan includes unlimited members and mailboxes within one organization and, per billing month:
- 2,000 accepted incoming email messages;
- 1,000 outgoing recipient deliveries, including automatic acknowledgements and email sent through integrations; each recipient counts separately and retries of the same delivery do not count again; and
- a standing allowance of 1 GB (1,000,000,000 bytes) of retained content, including email, attachments, internal notes, reply drafts and contact and company details.
API and MCP access are included at no extra charge. You bring your own AI assistant and pay its provider directly. Email and storage allowances and technical rate limits apply to activity through integrations.
There are no automatic overage charges. When an allowance is reached, the limits in section 7 apply. You can ask for extra capacity at support@alltended.com; any paid increase requires your explicit agreement.
You pay at signup and then monthly in advance until cancellation takes effect. There is no free trial. Stripe processes payments for us. We issue invoices through Stripe.
5. The 60-day money-back guarantee
If you request a refund within 60 days of your first successful payment, we refund all subscription charges collected during that period, including applicable tax, and cancel the subscription. You do not need to give a reason.
The guarantee applies to a business’s first paid Alltended subscription. New accounts, organizations or resubscriptions by the same business do not restart it. Email support@alltended.com from an administrator’s address and identify the organization. The time we receive your request decides whether it is in time.
We may decline the guarantee only with documented evidence that the business deliberately used an unauthorized payment method, submitted a fraudulent purchase or refund claim, used Alltended for unsolicited bulk email, phishing or malware, or misrepresented its identity to redeem the guarantee again. We explain any refusal in writing.
After approval we initiate the refund through Stripe to the original payment method. Email processing continues for seven days, within normal allowances, so you can change forwarding, unless you ask us to stop earlier or a protective suspension is necessary. The export period in section 10 starts when processing ends.
6. Renewal, cancellation and failed payments
Subscriptions renew monthly. An administrator can cancel in Settings → Billing through the billing portal. Cancellation takes effect at the end of the current paid period, and the service continues until then. You can reverse a scheduled cancellation before it takes effect. Outside the guarantee, cancellation does not entitle you to a refund for the remaining period.
If the portal is unavailable, email support@alltended.com before the renewal date. We honor an authorized, timely cancellation and refund a renewal caused by our delay.
If a renewal payment fails, we notify the billing contact and the service continues for seven days from the scheduled renewal while you update payment details. If the renewal is still unpaid after seven days, we end email processing, cancel future renewals and the unpaid invoice, and start the export period in section 10. We do not charge for a renewal period after its grace period has failed. There is no grace period before the first successful payment.
7. Limits and fair use
When the outgoing allowance is reached, new sends are refused until the next billing month; drafts are kept. When the incoming or storage allowance is reached, a transition period begins of up to seven days, 200 extra incoming messages or 100 MB above the storage allowance, whichever comes first. Use it to arrange more capacity, remove content or redirect forwarding. After the transition, new incoming email is held or refused as described in the product, and content-increasing actions are refused. We never silently discard email that was already accepted.
We apply technical rate limits to protect the service, including limits on sign-ups, invitations, API and MCP operations and sending. Additional keys, connections or members do not increase allowances.
8. Acceptable use
You must not use Alltended to:
- send unsolicited bulk or commercial email, purchased lists or other spam, or email recipients who have not agreed to be contacted where consent is required;
- send phishing, malware, or deceptive or impersonating content, or forge sender information;
- infringe intellectual property or privacy rights, or process personal data without a lawful basis;
- store or handle passwords, payment card numbers, authentication secrets or similar credentials;
- operate a clinical or patient record system, emergency or safety-critical workflow, privileged case-file repository or another concentrated store of especially sensitive records;
- probe, scan or test the vulnerability of the service, or bypass access controls, limits or security measures, except under a responsible-disclosure arrangement agreed with us;
- resell or provide the service to third parties as your own service; or
- break applicable law, including export control and sanctions law.
Ordinary business correspondence with consumers and businesses, including occasional sensitive information a correspondent chooses to send, is permitted. You are responsible for deleting content you should not keep.
9. Your content and data
You keep all rights to the email, attachments, notes, contacts and other content you or your correspondents put into Alltended (“Customer Data”). You give us the rights needed to host, process, transmit and display Customer Data to provide, secure and support the service for you.
We process personal data in Customer Data as your processor under the DPA. Our own processing of account, billing and website data is described in the Privacy Policy. You are responsible for having a lawful basis for the personal data you process in Alltended and for informing your correspondents where required.
We may use aggregated, de-identified usage measurements, such as message counts, to operate and improve the service. We do not use Customer Data to train machine-learning models, and we do not sell Customer Data.
10. Export and deletion at the end of service
An administrator can export the organization’s retained data at any time from Settings → Organization. After email processing ends, whether because of cancellation, a guarantee refund or a failed renewal, the organization becomes read-only for 30 days. During those 30 days, members can read retained conversations and administrators can export, manage billing and close the organization.
At the end of email processing, new incoming email to your Alltended addresses is refused or held, and queued replies that were not yet submitted are cancelled and shown as unsent. API keys and MCP connections stop working. Change the forwarding at your email provider before processing ends; we cannot change it for you.
After the read-only period, we delete the organization’s Customer Data from the live service. Backup copies expire within 90 days. An administrator can close the organization and delete its data earlier with an explicit confirmation; data cannot be exported after deletion.
Deleting your personal account is separate from closing an organization. It does not delete organizations you belong to or the records other members rely on.
11. Third-party integrations and AI assistants
You may connect integrations and AI assistants that you choose. When you authorize a connection, Alltended discloses the data you selected to that provider. The provider is not our subprocessor; its terms govern its processing. Revoking a connection stops future access but cannot recall data already disclosed.
MCP connections cannot send email. An assistant can save an unsent reply draft only if you grant that permission, and a person must review and send it in Alltended.
12. Suspension
We may suspend affected access, sending or incoming email immediately, and only to the extent needed, to stop actual abuse, a breach of section 8, a security compromise, or conduct that threatens the service, other customers or recipients. We will explain the reason and how to restore access when it is safe to do so. Read-only access and export remain available where possible. Suspension does not by itself cancel your subscription or remove guarantee eligibility.
13. Support and availability
Support is provided by email at support@alltended.com. We aim to give an initial response within three Swedish business days (Monday to Friday, excluding Swedish public holidays). Resolution times vary. This is a target, not a service-level agreement: the plan does not include guaranteed uptime, response or resolution times, service credits or 24/7 support.
We announce incidents and planned maintenance on our status page linked from alltended.com, independently of the app.
14. Warranties and liability
We provide the service with reasonable skill and care. Otherwise, to the extent permitted by law, the service is provided “as is”, and we do not warrant that it will be uninterrupted or error-free or that every email will be delivered.
Neither party is liable for indirect or consequential loss, lost profits, lost revenue or loss of goodwill. Each party’s total liability under these Terms in any 12-month period is limited to the fees paid or payable by the Customer for the service in that period. These limits do not apply to liability that cannot be limited by law, to fraud or gross negligence, or to the Customer’s payment obligations.
You are responsible for claims by third parties arising from Customer Data or your breach of section 8.
15. Changes to the service and these Terms
We email administrators at least 30 days before a price increase, a material reduction of the plan or a material change to these Terms takes effect. You can cancel before the change applies to you. Prepaid periods and accepted guarantees are not affected. We record which version of the Terms and DPA your organization accepted; an administrator is asked to accept a new version before it applies.
If we end the service or your subscription for ordinary commercial reasons, we give at least 30 days’ notice and refund prepaid charges for the period after the service ends. The export period in section 10 then applies.
16. Term and termination
These Terms apply from acceptance until the organization is closed and its data deleted. Either party may terminate for material breach that is not remedied within 14 days of written notice. We may terminate immediately for serious or repeated breach of section 8. Sections 9, 10, 14, 17 and 18 survive termination.
17. Confidentiality
Each party keeps the other party’s non-public information confidential and uses it only to perform these Terms. This does not apply to information that is public, already known, independently developed, or that must be disclosed by law.
18. Governing law and disputes
These Terms are governed by Swedish law, excluding its conflict-of-law rules. Disputes are resolved by the Swedish courts, with Stockholm District Court (Stockholms tingsrätt) as the court of first instance. We will try to resolve any concern informally first; write to support@alltended.com.
19. General
Notices to you are sent to the organization’s administrators by email. Notices to us go to support@alltended.com. You may not assign these Terms without our consent; we may assign them to a successor of the business. If a provision is invalid, the rest remains in force. These Terms, the DPA and the order details shown at checkout are the entire agreement for the service.
